GM Inventory Reconciliation — Privacy Policy

GOURMETMATTERS INC. operates GM Inventory Reconciliation for internal inventory reconciliation and accounting review.

Information collected

As connections are enabled, the application reads company identity, inventory items and quantities, orders, bills, invoices, sales receipts, credits, refunds, purchasing records, journal entries, posting status, and fulfillment information from authorized business systems.

Source records may include customer and vendor names, addresses, contact information, transaction notes, and other details supplied by those systems.

How information is used

Information is used to compare inventory, verify order postings, identify discrepancies, and preserve evidence for authorized business review.

Storage and security

Reports and source snapshots are saved in the designated project folder on the business computer. Report files are not encrypted by the application itself. Connection secrets are stored separately using Windows account encryption.

The operator manages access to the computer, reports, backups, and shared copies.

Access and service providers

Information is intended for authorized GourmetMatters personnel and authorized Le Parfait America personnel involved in fulfillment and reconciliation.

Connected services process requests under their own privacy policies. When authorized personnel use OpenAI Codex to inspect records or analyze reports, selected information may be transmitted to OpenAI for that work.

Retention and disconnection

The application retains dated reports and source snapshots until the operator authorizes their deletion. It does not automatically delete them.

Revoking a source connection stops future authorized collection but does not automatically erase existing reports or backups.
